Introduction

The Royal Hamilton Amateur Dinghy Club (hereafter referred to as RHADC or the Club) shall use this privacy notice to disclose the privacy practices in line with its business requirements and legal obligations of Bermuda’s Personal Information Protection Act 2016.

The aim is to allow the user to understand what personal information the Club collects, how it is used, and what control you, as an individual, have over your personal information. The purpose of this notice is to inform you about our privacy practices related to:

About Royal Hamilton Amateur Dinghy Club

The Royal Hamilton Amateur Dinghy Club (hereafter referred to as RHADC or The Club) is a

community of maritime and modern amenities situated on the waters of Bermuda in a family- friendly environment. The Club offers services within our restaurants and bars, meeting rooms and a Junior Members’ Lounge for children 10 years and over. The grounds include boat park/storage, car parking, and the marina facilities.

It is our mission to continue to offer excellent service and to do so we collect and use the personal information that you provide. For the purposes of this notice, we act as the “organisation” We take on this role as we determine how your personal information is used for the services mentioned above.

We have appointed an Internal and External Privacy Officer to assist with questions, requests, and complaints in regard to this privacy notice and the collection and processing of your personal information. The Personal Information We Collect

We use personal information that you voluntarily provide via email, telephone, membership application forms, payment processing and registration. Through these means, we collect the following types of personal information:

  • Full name
  • Email address
  • Phone number
  • Address
  • Date of birth
  • Details on previous sailing experience
  • Details on services requested from us
  • Photos

The personal information collected may at times, depending on the purpose, include sensitive information which includes:

  • Place of Origin
  • Nationality
  • Sex

How We Use Your Personal Information

Your personal information may be used for the following purposes:

  • General Club Membership Application, to assess your suitability for membership
  • Sailing Membership Application, to assess your suitability for sailing
  • Sailing Class Registrations, for an efficient enrollment process in sailing classes
  • Payment Processing for services or membership fees
  • Event Registrations
  • Newsletter communication to inform you of any changes to our services or schedules
  • Responding to your requests and
  • Employment Application

Legal Basis of Processing

The Personal Information Protection Act outlines the conditions for using personal information and at the Club we rely on this guidance in the use of your personal information.

  • Consent, your personal information will only be used based on your freely given provision of this information
  • Contract, the information is necessary for the performance of a contract which the individual is a party to.

  • Legitimate interests

We generally process personal information for purposes of our own legitimate interests, granted that those interests do not override any of your individual interests, rights, and freedoms.

We also process personal information for other purposes with consent, but you have the right to withdraw consent to processing for specific purposes, as outlined below.

How We Share Your Data

Your Personal information may be shared with third party organisation to support the purposes associated with the use of such information. These third-party organisations may include:

  • Government bodies to support compliance with legal requirements
  • Financial Organisations to support the processing of payment for services and membership
  • Newsletter Services, to streamline effective communication on our services or general

All overseas third parties involved in the use of your personal information are governed by adequate data protection practices to safeguard your personal information.

Under very limited circumstances, your personal information that we collect may be transferred to other countries for limited purposes outlined below.

We will only retain your personal information for the duration necessary to fulfill the purposes for which it was collected. Personal information may also be retained for longer periods based on relevant legal requirements.
